Privacy Policy

Transition Swimming has created this privacy statement in order to demonstrate commitment to your privacy. The following discloses the type of information Transition Swimming may hold and what is done with it.

INFORMATION COLLECTED

Contact Form

This website has a contact form which is used for new or existing customers to contact Transition Swimming. This form collects your name, mobile number and email address. The data is passed to Transition Swimming from Wix who host the website. Wix does not store this data. The data is passed to Transition Swimming via email. This data is then stored in a Google hosted email account, protected by a username/password. It is used for communication purposes only and the data is not shared with any other parties.

Personal Details Form

As part of the booking process, a link to a Google hosted Personal Details form is sent to new customers. The form requests the following information:

name
email
mobile phone number
emergency contact name and emergency contact mobile phone number
accept/reject photo/video usage for swim stroke improvement
accept/reject addition to newsletter mailing list
relevant medical information

This data is stored in a Google hosted spreadsheet, protected by a username/password. The spreadsheet is located on Google’s cloud network and no local copies are made to any Transition Swimming electronic device. Read Google's Privacy Policy.

If you accept to join the newsletter mailing list then your name, mobile number and email will be stored in a Google hosted contacts directory, protected by a username/password.

Video/Photographs

If your permission is given during the booking process, video or photographs may to be used for the purposes of swim stroke improvement. These images will be stored on the camera before being transferred to Apple cloud storage. Apple's cloud storage is protected using a username/password. Read Apple's Privacy Policy. Video and photos will only be shared with you. Sharing will be via Transition Swimming's DropBox account. Dropbox is a cloud-based file storage and sharing site, protected by username/password. Read Dropbox's Privacy Policy.

There may be an image that Transition Swimming may wish to publish on their website or social media. In this case Transition Swimming will seek your express permission by email before publishing.

HOW YOUR DATA IS USED

Communication

Your name/email address/mobile phone number is used for communication between Transition Swimming and you. This maybe to schedule a swim session or to discuss details of a swim after the event.

If you join the mailing list then you may receive a newsletter from Transition Swimming. Newsletters are used to:

provide general updates about what is happening in the swimming industry
any trends
hints or tips on swim stroke
updates relating to the Transition Swimming business
any offers available

Emergency Contact

Your emergency contact name and number will be used only in the event of an emergency e.g. missing swimmer, an emergency medical problem, etc. The Transition Swimming coach may try to contact your designated emergency contact if necessitated by the situation.

Medical Information

Only medical information relevant to the safety of the swim is requested from you. This is to ensure:

it is medically safe for you to go into a swimming pool or potentially hazardous open water environment
in the event of a medical emergency the coach has the relevant medical information about you to deal with the situation effectively
in the event of a medical emergency the coach has the relevant medical information about you to pass on to an emergency health professional

Swim Session

A paper copy of your contact details, emergency contact information and medical details will be taken to the swim site by the coach. This paper copy will only be used in an emergency situation. During the swim, the paper copy will be stored in a folder, inside the safety box and it will be destroyed shortly after the session. The paper copy will only visible to the swimmer's coach.

If swimming in a pool, the swimmer's name and emergency contact details will be shared with the pool provider e.g. The Cardrona Hotel Leisure Club. The swimmer's name and emergency contact details will be emailed to the pool provider in advance of the lesson. The pool provider only requires the swimmer's name and emergency contact details to effectively deal with an emergency situation.

Cookies are very small text files that are stored on your computer when you visit some websites. Find out more about Cookies. This website is built and hosted using Wix. DATA RETENTION

Transition Swimming does not keep data about you indefinitely. Medical information and emergency contact details held about you will be deleted within six months of your last swim session, or earlier if requested.

If you wish to be added to the newsletter mailing list then contact information about you (name, email, mobile phone number) will be held until you unsubscribe. If you do not wish to be on the newsletter mailing list, then your contact details will be deleted along with your medical information after six months.

Images on Dropbox will be deleted as soon as the transfer to you has been confirmed, or a within a maximum of six months.

Video and photos of a swim session maybe kept indefinitely by Transition Swimming, unless you request deletion.

DATA REQUESTS

If you would like to know what data Transition Swimming holds about you and how it is used, please email robert@transitionswimming.com. You will receive a response to this request within 14 days.

DATA DELETION

If you would like all data Transition Swimming holds about you to be deleted, please submit a request to robert@transitionswimming.com. This will be undertaken within 28 days of the date of the request.
